Terms of Service

Last updated: [DATE]

This is a draft, not a published agreement. It hasn't been reviewed by a solicitor. Before publishing, fill in every [bracketed] field and have it reviewed — particularly the liability, payment, and termination sections, which are where a generic template is most likely to not fit your actual business.

1. What this service is

ReplyFox lets you build an AI chatbot trained on your own content and embed it on your website or app. Replies are generated using Claude, an AI model provided by Anthropic. By creating an account, you agree to these terms.

2. Your account

You're responsible for keeping your login credentials secure and for activity that happens under your account. You must provide accurate information when signing up and keep it up to date.

3. Acceptable use

You agree not to use the service to:

  • Build a bot whose knowledge base or instructions contain illegal content, or content that infringes someone else's intellectual property rights;
  • Attempt to bypass rate limits, domain restrictions, or other technical controls;
  • Use the service to build a bot that impersonates a real person or organization you're not authorized to represent;
  • Probe, scan, or attempt to gain unauthorized access to our systems or another customer's data;
  • Use the service in a way that violates applicable law, including data protection law with respect to any personal data your bot collects from end users.

We may suspend or terminate accounts that violate this section.

4. Your content and data

You own the content you put into your knowledge base. You're responsible for having the right to use and share any content you upload or import via URL. You're also responsible, as the data controller for your bot's end users, for having a lawful basis to collect and process their messages, and for your own privacy policy covering your use of the bot — we process that data on your behalf as described in our Privacy Policy.

5. AI-generated content

Replies are generated by an AI model and may occasionally be inaccurate, incomplete, or inappropriate despite being grounded in your knowledge base. You're responsible for reviewing your bot's behavior and instructions, and for how you present AI-generated replies to your end users. We don't guarantee the accuracy of any reply the bot generates.

6. Payment and plans

[Describe your actual billing terms here once payment processing is live: billing cycle, what happens on a failed payment, refund policy, how plan changes and overage charges are billed, and notice period for price changes.]

7. Service availability

We aim to keep the service available but don't guarantee uninterrupted access. We're not liable for outages caused by our infrastructure providers, Anthropic's API, or other third parties we depend on.

8. Limitation of liability

[This section needs a solicitor's input — it defines the cap on your liability if something goes wrong for a customer, and a generic template here is a real financial risk if it doesn't match your actual insurance/risk position.]

9. Termination

You can delete your account at any time from your dashboard. We may suspend or terminate accounts that violate these terms, with notice where practical. On termination, your bots and data are deleted per our Privacy Policy.

10. Changes to these terms

We'll update the date at the top of this page when these terms change, and notify account holders of material changes.

11. Governing law

These terms are governed by the laws of [England and Wales, or your actual jurisdiction].
